Velocity Sports Management Inc. (“VSM,” “we,” “us,” or “our”) is a registered 501(c)(3) non-profit organization providing AI-powered sports management, athletic development, academic support, mentorship, and NIL guidance for youth, high school, collegiate, and professional athletes and their families.
This Privacy Policy explains how we collect, use, protect, and share information when you visit velocitysm.com, use the VSM Athlete Portal, register for our programs, or otherwise interact with us. By using our website and services, you agree to the practices described in this policy.
02 INFORMATION WE COLLECT
Depending on how you interact with VSM, we may collect:
  • Contact information — parent/guardian and athlete names, email addresses, phone numbers, and mailing addresses provided during registration or inquiries.
  • Athlete profile information — date of birth, age, school and grade level, sports played, positions, experience, and related development details submitted to the VSM Athlete Portal.
  • Health & safety information — emergency contacts, allergies, medical conditions, injury history, and physical clearance status, collected solely to keep athletes safe during participation.
  • Performance data — measured athletic metrics (e.g., speed, timing splits, body measurements) captured through our programs and analysis tools.
  • Communications — messages you send us through contact forms, email, or SMS.
  • Technical data — IP address, browser type, pages visited, and similar analytics information collected automatically when you browse our website.
03 HOW WE USE YOUR INFORMATION
  • To process athlete registrations and administer VSM programs, teams, and events;
  • To evaluate athletes for program placement, team selection, and sponsorship consideration;
  • To keep athletes safe (emergency contact, medical awareness, participation clearance);
  • To communicate schedules, program updates, and important announcements with parents/guardians;
  • To provide performance analysis, development tracking, and progress reporting through the VSM Athlete Portal;
  • To deliver academic support, mentorship, and NIL education services;
  • To improve our website, services, and program offerings;
  • To comply with legal obligations applicable to non-profit organizations and youth sports programs.
We do not sell your personal information. As a non-profit, we use your information only to deliver and improve our mission-driven services.
04 CHILDREN’S PRIVACY & PARENTAL CONSENT
Many VSM participants are under 18. We take children’s privacy seriously:
  • Registration for athletes under 18 must be completed by a parent or legal guardian;
  • We collect only the information reasonably necessary for safe program participation and athlete development;
  • Parents/guardians may review, update, or request deletion of their child’s information at any time by contacting us;
  • We do not knowingly collect personal information directly from children under 13 without verifiable parental consent, consistent with the Children’s Online Privacy Protection Act (COPPA).
05 SMS / TEXT MESSAGING PROGRAM
If you opt in to receive text messages from VSM (for example, during Athlete Portal registration), we may send you messages related to registrations, schedules, program updates, and account notifications.
  • Consent is not a condition of purchase or participation.
  • Message frequency varies; message and data rates may apply.
  • Reply STOP to opt out at any time, or HELP for assistance.
  • No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Information sharing to subcontractors in support services, such as customer service, is permitted. All other use-case categories exclude text messaging originator opt-in data and consent; this information will not be shared with, or sold to, any third parties.

06 ATHLETE PERFORMANCE DATA & AI PROCESSING
VSM uses AI-assisted tools to analyze athletic performance. Our approach is built privacy-first:
  • Keypoints-first processing — our motion analysis works from body keypoint data (skeletal positions), and our systems are designed so that imagery of minors is not stored or transmitted as part of Phase 1 performance analysis;
  • Measured data only — every performance value carries its source and confidence level; our AI reports verified measurements and never fabricates or estimates results;
  • Single system of record — athlete data lives in the secure VSM Athlete Portal, accessible to the athlete’s family and authorized VSM staff and coaches;
  • Performance data is used for the athlete’s own development, program placement, and — with consent — recruiting/showcase purposes.
07 HOW WE SHARE INFORMATION
We share personal information only as needed to run our programs:
  • Coaches & program staff — roster, contact, and relevant safety information for teams an athlete joins;
  • Leagues & event operators — registration details required to enter VSM teams and athletes in leagues, tournaments, and sanctioned events;
  • Service providers — vendors that host our website, portal, email, and messaging systems, bound to use information only on our behalf;
  • Legal compliance — when required by law, subpoena, or to protect the safety of our athletes and community.
We never sell, rent, or trade personal information — including children’s information — to third parties for their marketing purposes.
08 PHOTOS, VIDEO & MEDIA RELEASE
With parent/guardian consent obtained during registration, VSM may photograph or film program activities for team communications, athlete development (game film), and promotional materials such as our website and social media. Families may decline or withdraw media consent at any time by contacting us; we will make reasonable efforts to remove requested imagery from future materials.
09 COOKIES & WEBSITE ANALYTICS
Our website uses cookies and similar technologies to keep the site functioning, remember preferences, and understand how visitors use our pages so we can improve them. Analytics data is aggregated and does not identify you personally. You can control cookies through your browser settings; disabling them may affect some site features.
10 DATA SECURITY & RETENTION
We use administrative, technical, and physical safeguards appropriate for a youth-serving organization — including secured hosting, encrypted connections (HTTPS), and access limited to authorized personnel. No method of transmission or storage is 100% secure, but we work continuously to protect your information.
We retain information for as long as needed to administer our programs, meet legal and insurance requirements, and maintain athlete development records. Families may request deletion as described below.
11 YOUR RIGHTS & CHOICES
  • Access & correction — review and update your family’s information through the Athlete Portal or by contacting us;
  • Deletion — request deletion of personal information, subject to records we must keep by law;
  • Communications — opt out of non-essential emails via the unsubscribe link, and text messages by replying STOP;
  • Media consent — withdraw photo/video permission at any time.

12 CHANGES TO THIS POLICY
We may update this Privacy Policy from time to time. Changes will be posted on this page with an updated “Last Updated” date. Material changes affecting children’s information will be communicated to parents/guardians.
